The 12-Minute Pre-Listing Exception Scan: Catching Errors Before Buyers Do

A listing can fail before price becomes the problem. A wrong card number, mismatched grade, missing image, or stale description can turn a profitable card into a return, dispute, or dead listing. Run this 12-minute scan before each weekly listing session.

Minutes 1–3: Identity Check

Compare the physical card or slab against the record: card name, set, number, language, grade, grading company, and certification details where applicable. Similar variants are one of the easiest ways to create an expensive mislabel.

Mark any mismatch as an exception and fix the source record first so the error does not travel into the title, description, or shipping paperwork.

Minutes 4–6: Condition and Presentation

Check that the image matches the exact item and that the front, back, slab label, and notable condition details are visible. For raw cards, verify the stated condition against corners, edges, surface, centering, and whitening.

Minutes 7–9: Price and Channel

Check recent sold examples, active competition, and net proceeds after fees and shipping. Confirm the channel fits the card. If the market is thin, avoid reflexively undercutting; record the rationale and set a review date.

Minutes 10–12: Fulfillment Readiness

Verify the SKU, physical location, packaging plan, and shipping method. Use a final gate: Can I find it in under two minutes? Can I describe it accurately? Can I ship it without improvising? If not, move it to the exception queue.

The Exception Log

Log the item, exception type, owner, next action, and due date. Categories include identity, condition, image, price, channel, and fulfillment. Recurring exceptions usually signal a broken process rather than careless staff.

Bottom Line

The fastest listing session is not the one with the most uploads. It is the one with the fewest preventable corrections afterward. Twelve minutes of scanning protects margin, buyer trust, and inventory accuracy.
